ADMINISTRATIVE SECRETARY

  1. Maintain a list of all clubs in our unit who have renewed their annual sanctions.
  2. Receive and maintain correspondences with ACBL.
  3. Forward a member's request to apply for the Director's Test to the ACBL membership department.
  4. Collect petitions of candidates who choose to run for the Board by filing petitions
  5. See that ballots are mailed out to each Unit member prior to the annual meeting in December. The ballots may be neither printed nor mailed before October 15, which allows anyone seeking nomination by petition to have their name on the ballot. With two additional members of the Election Committee (appointed by president) open and count the ballots at the annual dinner and report the results. Procedures to follow are:
    1. Type ballots
    2. Obtain a mailing/printing service to print envelopes with the name and address of secretary. From 1997 to 2000 a reasonable and very cooperative vendor, owner's name Bob, was reported:

      The number of envelopes is to correspond to the number of members.
    3. Order labels for unit members from ACBL and deliver them to mailing company along with copy of ballot as well as a copy of the flier for the annual dinner provided by that chairperson.
    4. Make sure that instructions are clear that only the ballot is to be returned in the envelope addressed to the Administrative Secretary.
  6. Provide members with job description booklets and maintain the software necessary to create addition booklets. Bring suggestions for revisions to the president for approval

ANNUAL DINNER CHAIRPERSON

The committee is responsible for scheduling and planning the Annual Dinner Meeting (usually held in December), including publicity, and collecting registration fees for the dinner.

The Committee may schedule the meeting at any location within Unit 106. The meeting has been held on Friday and Sunday evenings, but more recently has been on Sunday evening.

The Board of Directors has traditionally subsidized this event, budgeting a loss as determined in the annual budget.

The President invites guests including the President of the District, the District Director and possibly others.

A bridge game of approximately 21 hands follows the dinner, with the Nat Seiden Trophy awarded to the overall winners and held for one year. The Committee chairperson must be sure the trophy is returned in time for the event each time.

The Annual Meeting, which is part of the Dinner, is required according to the Unit By-laws. An NJBA member may invite one un subsidized guest for the dinner. That guest may also play provided their partner is an NJBA member.

The Chairperson must have the event's budget, reservation (deposit paid), and all plans complete by the Board meeting prior to the October newsletter. At that meeting, the Board decides how much to subsidize the event (amending the annual budget in accordance with current revenues) in order to set the fee to be charged patrons of the event. The Board may vote to give free dinners to its members. Event information is then distributed to the newsletter editor and the webmaster. A reservation form is included in the newsletter, and a further notice of the event is sent to members in the envelope with the ballot for election of Board members.

The schedule for the event is set by the committee chairperson, the agenda by the president, and a program is printed showing this schedule. It must include a "State of the Unit" address by the President of the Board. That also serves as the time when the results of the election of members of the Board for the coming year are announced and they meet briefly to elect the President for the upcoming year. In conjunction with the President and Awards Chairperson, schedule time for the presenting of awards. These awards, which may include special awards, life master awards, are presented before the election of a new president.

The Committee sets policy regarding smoking, drinking, menu, door prizes, decorations and dress. The event has been traditionally formal or semi-formal.

The Chairperson must also ensure that the District 3 Tournament Coordinator approves the date of the event and that it is sanctioned by the ACBL. The sanction request is sent in by Tournament Chair. Traditionally the game carries the status of Unit Championship, providing additional Master Points.

Caddies must also be scheduled (through with Caddy Chair), and directors hired. The Unit 106 Treasurer should be advised to bring sufficient cash to tip the hotel/restaurant maitre d' and pay the caddies.

Duplicate boards and a computer with printer should be provided if requested by the director-in-charge. Arrangements must be made to have the necessary bidding boxes and rent sufficient tables for the bridge game.

To insure that results are properly received, directors should be given instructions on what and how to generate results to Player of the Year Chair, Newsletter Editor, Webmaster and ACBL. Refer to sections on Player of the Year, Webmaster, or the web site, http://www.bridge-njba.org/instruct.htm for these instructions.

It is expected that the Chair continues to provide that info to the director.

AUDITOR

Early in the new fiscal year, the auditor verifies the expenditures of the treasurer as being legitimate Unit disbursements approved by the Board of Directors. Once the books of the previous year are closed the Auditor physically takes the Treasurer's ledger out of his/her possession. Generally, the pick up is after the February Sectional.

The auditor then verifies that the ledger agrees with the monthly bank statements of the Unit's finances. The Auditor returns the book when the audit has been completed, generally no later than two weeks after receiving it.

AWARDS AND TROPHIES CHAIRPERSON

Secure trophies when requested for novices and have them available at Sectional events. Order Life Master pens for the year's new Life Masters, have them engraved, and present them at Annual Dinner. Also order trophies to be presented at the Annual Dinner for winners of:

Bill Joseph Trophy, awarded to overall Player of the Year winner, is held for one year. This must be retrieved and engraved prior to the Dinner.

Order gifts (to be determined) for new Silver, Gold, and Diamond Life Masters.

Retrieve Plaques for following Awards (usually in home club of last year's winner); have plates engraved with this year's winners and have ready to be presented at Annual Dinner

  • Charles Karp Good Fellowship Award
  • Richard Lighton Literary Award
  • If Board of Directors decides to give a special lifetime achievement award, order, have engraved, and ready for presentation at the Annual Dinner

    BOB JOHNKE CHAIRPERSON

    1. Reserve a game date several months in advance. This must be OK'd by both the unit and the district.
    2. Reserve a game site as soon as the date is chosen.
    3. Work with the editor of the newsletter to have the entry form in the appropriate newsletter before the event. Also coordinate with the Webmaster to get it on the web site and send the result to the Player of the Year Chair.
    4. Secure a director for the game well in advance, local if possible. The Player of the Year Chair and Webmaster should be consulted before a director is selected.
    5. Hire a caterer for the meal. Plan the menu within budget.
    6. Coordinate with Caddy Chair to secure desired number of caddies for the event.
    7. Have a committee of approximately three people to get the room set up. Be sure there are table cloths on the dinner tables. Put two garbage bags and four bidding boxes on each bridge table.
    8. Give the entry fees collected to the Treasurer. Make sure the Treasurer is advised of money or checks to be available on day of event (i.e. caddies, director, etc.).
    9. In advertising this event make sure that it is made clear that this is more than a bridge game. It's a social event greatly subsidized by the unit. Allow time during dinner break for socializing.
    10. Have a committee to determine how to equalize (handicap) the field since this is not a stratified event.
    11. To insure that results are properly received, directors should be given instructions on what and how to generate results to the Player of the Year Chair, Newsletter Editor, Webmaster and the ACBL. Refer to sections on Player of the Year, Webmaster, or the web site, http://www.bridge-njba.org/instruct.htm for these instructions.

      It is expected that the Chair continues to provide that info to the director.

    12. The Player of the Year Chair and Webmaster should be consulted before a director is selected.
    13. Follow up with the two final teams to be sure that they play their final.
    14. Submit the final results to the Newsletter Editor, Player of the Year Chair, Prize Chair, and the Webmaster.
    15. Make sure copies of "conditions of contest" are available at playing sites and web site.

    BUDGET CHAIRPERSON

    The Unit's annual budget is created at the beginning of each calendar year. Estimates are made for the year's income producing items (Sectional, dues, District distribution, etc.) and operating costs (newsletter, equipment, advertising, etc.). Decisions can then be made as to how much the Unit wishes to give back to its members through subsidized events such as the Annual Dinner, the Bob Johnke Teams event, and STaC.

    Customarily, the budget is prepared by the Budget Committee, discussed with the Executive Committee, and presented to the full Board at its January meeting for approval with or without changes.

    A sample budget may be obtained from the previous chair.

    CADDY CHAIRPERSON

    1. Maintain list of available caddies
    2. Set up caddy schedule about two weeks prior to tournament.
      1. Friday afternoon Head caddy and another if possible
      2. Friday evening Head caddy and two regular caddies
      3. Saturday afternoon Head caddy and three regular caddies
      4. Saturday evening Head caddy and 2 regular caddies
      5. Sunday Head caddy and three regular caddies
    3. Meet with caddies before each session to make certain they know what their job function is.
        Head Caddy:
      1. Manage kitchen
      2. Keep coffee and refreshments filled
      3. Set up coffee pot for next day, which will be plugged in by custodian.
      4. Help directors set up playing area (table cards, scoring cards, etc.).
      5. Clean kitchen area at end of tournament.
      6. Assist Tournament Chair in keeping inventory of items needed for next tournament.
      7. Help caddies replace all playing materials at end of tournament.
    4. Meet caddy chairperson to review duties.
    5. Collect all playing materials at end of Sunday session
    6. Pay caddies
      1. Regular caddies at the end of each session ($20.00 per session in 2001). Give director a chit for the amount you will need, and he/she will give you the cash.
      2. The Head Caddy is currently David Herold, who receives a flat fee for the weekend ($200.00). Be sure to request this sum from the director on Sunday.
    7. Soda Purchase, Sales, and Profit
      1. Purchase soda and deliver to Guardian Angel on Thursday.
      2. Head caddy sells soda for 75 cents Use profit to tip head caddy and regular caddies. Reserve enough to purchase soda for following tournament. Any excess should be given to the Treasurer.

    Charity Chairperson

    1. Coordinate Charity activities for Unit 106.
    2. Contact club managers at beginning of year to identify designated ACBL charity.
    3. Subsequent charity events scheduled at each club for the charity of their choice.
    4. Chairperson to supply information, and possibly an article about the donations and their beneficiaries, to
      1. Publicity Chairperson
      2. Newsletter Editor
      3. Webmaster
    5. Charity games may be open or invitational (e.g., seniors, novices, stratified.
    6. ACBL Charity Foundation can provide hand records with analysis sheets. Previously used hand records from another region available for a smaller charge.
    7. Charity Committee may schedule a special event as a Unit- Wide Charity Game or as a Unit Charity Game at a single location. This MAY be counted towards Player of the Year. This was done at least once during our Sectional.
      1. Units may schedule up to four such events. The first and the third MUST benefit the ACBL Charity.
      2. Sanction for each event should be sent to ACBL Charity Foundation about six months prior to event and coordinated with Club Coordinator. (Request for sanction should go through Tournament Chair.)
    8. Board may distribute monies if not designated by individual clubs. ACBL will inform Board President of matching funds to be distributed.

    1. Create monthly calendars that include the following:
      1. ACBL Nationals (NABC)
      2. District 3 Regional events
      3. Unit 106 Sectional events
      4. Unit wide games
      5. Special national, district and unit events
      6. Club Championships (Open Pairs) from the prescribed table (available from previous chair), adjusted for the above events
    2. Send a calendar of scheduled events to the clubs. The calendar covers a four month period, beginning with the month of the next Newsletter. The calendar also includes a request for information about each club's upcoming special events and a clearly stated deadline for the club to return that information. If not promptly returned then a reminder should be sent or the club called. These deadlines are currently in place:

      The calendars should be sent to the clubs by the first day of the month during which the deadline occurs and reminders should go out by the 15th.
    3. When the calendars are sent to the clubs, include a request for a list of overall winners of any special events (club championship or charity games).
    4. When information is received and collated, send to the newsletter editor no later then first day of month prior to publication date.
    5. This job is crucial to the validity of the Newsletter since our membership depends on the information contained therein.

    CONDUCT AND ETHICS CHAIRPERSON

    The Conduct and Ethics Committee of Unit 106 handles complaints involving the behavior or ethics of its members as well as non- members who participate in any sanctioned event within it geographic boundaries.

    Other Units may, if they wish, refer to your committee problems concerning NJBA members which occurred in their area.

    All complaints must be in writing. The accused always has the right to see a copy of the charges being made against him. In practice, very often this letter along with a cover letter from the C & E Chairperson explaining that a formal complaint has been lodged is enough to generate a response that satisfies the complainant and the matter can be resolved amicably without the need of a hearing.

    In a few cases a formal hearing is necessary. When this occurs you should refer to ACBL's "Code of Disciplinary Regulations" (revised January 2001). This publication is very detailed as to procedure and may be found on the ACBL web page in the membership section. Go to www.acbl.org, go into the membership section and call up the ACBL Handbook, Appendix D.

    Needless to say, anything that goes on in the C & E Committee is highly confidential.

    Any appeals from actions of the Unit's C & E Committee go to the District 3 Appellate Committee.

    DOUBLE KNOCKOUT TEAMS CHAIRPERSON
    Nelson Reitman Championship

    The North Jersey Double Knockout Team event runs for most of the calendar year. The event is comprised of two flights, if warranted by number of entries (see conditions of contest). Each will have its own schedule and awards. Eligible teams may enter both flights. Teams usually start to play their first match during the month of February. For a team to be eliminated it must be defeated twice. The event usually ends in November, and culminates in the awarding of trophies at the Annual Dinner.

    In the latter part of the year preceding the event, the chairperson sends out an Application for Sanction form to the ACBL. A copy of the rules are usually attached. A copy of the sanction should also be sent to the Tournament Chairperson.

    In December and January, the event Chairperson provides the captains of the teams for the upcoming year with entry forms and rules. These are also made available at Sectional events and at the participating clubs. After all entries have been returned, the teams are seeded in each flight, and assignments for the first match are sent out. An entry fee for the event is collected from each team at the beginning of the year, and the money, less some postage, copying, and mailing expenses, is forwarded to the Treasurer. The teams are given approximately three weeks to complete their match and notify the chairperson of the results. This process continues throughout the year. As matches are played, the chairperson is responsible for ensuring that the Unit's web page is updated. The chairperson is also responsible for communicating with the chairperson of the Newsletter prior to the deadline for each Newsletter publication.

    From time to time during the year, the Chairperson handles disputes, calms the contestants in the heat of anger, and helps work out any scheduling difficulties that may arise.

    At the end of the year, the results of the event are entered on diskette, and given to the Treasurer for mailing to the ACBL. The Treasurer is told how many tables were in the event so that a check may be sent to the ACBL along with the results. The final results of the event are also communicated to people chairing the Player of the Year and Prizes activities, so that ample time is allowed for engraving trophies. The Chairperson presents trophies to the winning teams in each flight at the Annual Dinner.

    GNT AND NAOP CHAIRPERSON

    GNT

    There are no longer qualifying rounds within the Unit or a Unit final; however, the District final should be advertised in our Newsletter and on the Web Page. Make sure that the information is given to the Newsletter Editor by the deadline specified so that it can appear in the newsletter that goes out the beginning of the quarter during which the event will be held. If possible, have the date appear also in the preceding newsletter. As soon as the date is established notify the Webmaster so that the date can be added to the calendar.

    Make sure the Newsletter Editor and the Webmaster receive the results of the District Final as soon as the event is over. A disc or email file should go to the Webmaster and will probably be done by the director at the instruction of the District 3 Chair. Double check to make sure the director has the Webmaster's instructions, a copy of which is on our web site, and that the information is forwarded.

    NAOP

    1. Make sure that the clubs are aware of the months when qualifying rounds are to be played, and make sure that the Club Coordinator includes the dates for qualifying rounds in the club calendar for those months
    2. Schedule the Unit Final at one of the local clubs which is large enough to accommodate the event (20 tables approximately) Work with the club chosen to:
      1. Hire a director
      2. Schedule the time of the event
      3. Furnish food for the event
      4. Have enough supplies to handle event
    3. At the end of the Unit Final, give out entries to the District Final. It is helpful to have forms filled out, except for names, ahead of time.
    4. Send letters to all qualifiers notifying them of the District Final
    5. When advertising the Unit Final, add the date for the Unit Final, which is held in Westchester. People who cannot attend our Unit Final are eligible for the final in Westchester or any other Unit in District 3. We will endeavor to have our final on a Saturday if theirs is on Sunday and vice versa.
    6. Same notification to Newsletter Editor and Webmaster apply to NAOP as GNT, both before and after events. Be sure the director receives a copy of the Webmaster's required information at the end of the event.

    It is expected that the Chair continues to provide that info, obtained at www.bridge-njba.org/instruct.htm, to the director.

    MEMBERSHIP CHAIRPERSON

    As stated in the Membership Handbook, the goal of the Unit Membership Chairman and Committee is to increase the Unit's membership by seeking new members, encourage present members to renew and former members to reinstate their membership.

    In and Out Report: The Membership Chairperson receives a monthly "In and Out" report from the ACBL Club Membership Department. These reports contain address changes, rank changes, transfers out of the Unit, the names of deleted or deceased members, and the names of members who are being sent renewal notices. In addition, this report contains the total membership of the Unit.

    Membership Status Report: Each month the Unit Membership Chairperson receives two copies of the "Member Status Report." This report contains a listing of all new members, members who have transferred into the Unit, and the names of those whose membership have lapsed. There is a place on the report to note the Unit's contact with these people.

    The Membership committee is to call each new member and "transfer in" to welcome them ands make them aware of local club games, tournaments, and activities. We also send them a letter of welcome. The letter indicates the names, addresses, and phone numbers of the clubs in our Unit. It also provides the chairs email address and invites the member to send their email address so that they will be notified, via email, of local events. The letter also includes our web site and invites them to visit it.

    Inactive members (those who have let their dues lapse) are contacted. They are encouraged to renew their membership and/or asked why they no longer wish to be members. Suggested sample scripts are provided.

    The results of the calls and letters are recorded on the Membership Status Report and returned to the ACBL Club Membership Department quarterly. Each report is due at ACBL headquarters (Memphis) 60 days after the end of the relevant quarter.

    Comments and Suggestions: Form a committee of three or four people to make calls and/or send letters. The monthly membership report arrives three to four weeks after the close of the month of the report. Make copies of the report and divide the list among the committee. The calls are best done by someone who does not work, as the phone contacts are extremely time consuming. It seems that no one is ever home. Ask the callers to complete their assignment within three weeks and return the results to the chairman. The chair then compiles the accumulated results and sends them to ACBL. It is strongly advised that those selected have adequate time to make the calls as well as a pleasant phone voice.

    The "transfers in" seem to pose the most problems. Members move between our New York - New Jersey area and Florida and each time they notify ACBL where to send the Bulletin ACBL treats them as a transfer. Additionally, ACBL seems to be behind in posting that information. Examples of errors are:

           Wrong number, unable to obtain the correct one
           NJ address with NY phone, disconnected
           Same new member listed twice
           Ridgewood member with Nevada as state and zip code

    Thus, the list becomes more difficult to work and requires people with the time to devote to making the contacts.

    NEWSLETTER EDITOR

    1. Announce upcoming Sectional, Regional and special events.
    2. Publish updated club directory and directory of Board members.
    3. Publish Club Coordinator information: (Due by 1st day of month prior to publication date.
    4. Publish Sectional Results obtained from Tournament chair or head director.
    5. Articles are done in Word, each as a separate file, and then imported into the layout.
    6. Edit the pages and proof the layout. You may want someone to review the editing to avoid errors.
    7. Current costs: 12 pages including printing, folding, collating 1250 copies approximately $550. Check each time with printer about cost.
    8. Solicit bridge article from interested contributors.
    9. Publish letter from Unit President
    10. Every year we are required to publish Record of Circulation in the first issue after October 1, so it will be the January issue. There is a standard form which will be mailed by post office to a person living in Ridgewood or Glen Rock. There are inspections once every 5 years or so the check that the person lives in one of these towns. This form is taken to the Ridgewood Post Office in October by the editor. The form is given to Tom Duane. And must be in the January newsletter.
    11. Maintain lists of Player of the Year, Ace of Clubs, Mini- McKenney, Top 100 Master point holders. Some of these are done by members of the board.

    Newsletter Distribution Chairman

    1. Call ACBL for labels, Unit 106, 1 per household, self- adhesive, zip code order. Set up committee to label Newsletter, which is usually done at a local club.
    2. The person in charge of the mailing will determine the distribution center. The unit is registered at Ridgewood Post Office. Do not move to another post office. Pick up six short brown bags prior to mailing. Bring these bags to the place where the labels are bing affixed. Then return the bags to Ridgewood Post Office.
    3. Two bundles - no bags - Ridgewood and Glen Rock. Towns with large bridge populations (Teaneck, Tenafly, Hackensack (076), Newark (070), Paterson (074), out of state get a bag each. Get to post office before 1 PM, Tom Duane, Mail Chief, 2nd Class Mail. Costs is about $150- 160. Treasurer will give a check which covers more than one mailing.

    NOMINATING COMMITTEE CHAIRPERSON

    The president names a chair and members. The committee will consist of seven members, three Board members not up for reelection and four NJBA members who are neither Board members nor plan to be candidates in the upcoming election.

    Notice of formation of committee is given to the Webmaster and Newsletter Editor for July publication. Included will be instructions to possible candidates, deadlines, etc.

    The committee should first determine whether or not current Board members up for reelection wish to be candidates. The committee is to consider these and other people who have appropriately indicated their desire considered as a nominee.

    A decision, in compliance with the NJBA's by-laws, is made as to the slate of candidates. This information is delivered to the Administrative Secretary no later than September 1. At that time this information should also go to the Webmaster and Newsletter Editor in order to be presented to the members on or before October 1.

    NOVICE PROMOTION CHAIRPERSON

    1. Seek out previously untried methods of reaching potential novices.
    2. Monitor and analyze in-progress outreach efforts and ensure that they are done in the manner approved by the Board.
    3. Working with a Novice committee to explore possibilities for new programs.
    4. Initiate plans to repeat, duplicate, or expand previously successful promotional activities.
    5. Jean Mazouat's suggestions after years of experimenting:
    6. Work with Newsletter Editor and Webmaster so that all novice activities are advertized. Create a "Novice Page" in at least one or two newsletters each year.
    7. Keep the president up to date on all novice promotional activities.

    PAIRINGS CHAIRPERSON

    1. Be present at all games at the sectional (or arrange for substitute) at least 45 minutes before game time
    2. Set up a table near where the entries are sold
    3. Take names of players looking for partners, ascertain flight eligibility, and ask which game they wish to enter
      1. Ask players to stay near pairing desk until partner is found
      2. Ask players to notify you if they secure partner on their own
    4. Although players may call the Pairings Chairperson ahead of time, no guarantee of partnership is to be given over the phone. Player must be at the game site to have name placed on list (exception at discretion of Pairings Chairperson).
    5. If there are any problems, immediately contact the Tournament Chairperson and/or the President

    PLAYER OF THE YEAR CHAIRPERSON

    Maintains a record of the number of master points accumulated by Unit members in designated events within a 12 month period commencing with the Annual Dinner. The players must be further separated by the number of points they had at the time of, or as close as possible, to that Annual Dinner. This is to determine their category. Chairman must enter the points of each unit member earned in the following events:

    The chair must be able to add players who have moved into or joined the unit, allowing new players to the ACBL to compete for awards as late into the year as possible. Only points obtained as a paid up Unit member count towards Player of the Year. If the Chairman of Unit Wides cannot get the point totals for overalls then the Player of the Year Chairman must get these numbers, either by phone to the ACBL or software calculations. This person will also monitor stratified Unit Wides to assure that the same strata is used at each club. Failure to comply could affect the points determined by various software.

    Give a report to the Newsletter Editor five weeks before publication of each paper. The Webmaster should get a report as frequently as possible, but certainly within a few days of receiving data from the director or chairperson of the above mentioned events. The report should include the top four or five in each category and a brief commentary.

    These features are facilitated in a software program developed by Arnie Bergen for the exclusive use of Unit 106. The program expedites all of the above tasks. Entry of points gained at the Sectional events, Bob Johnke, and Annual Dinner can be entered by computer. The Player of the Year Chair obtains a disk or the email of a DOS text file containing the following , in exact order; First Name, Last Name, Total Points, Recent (the event), City, State, ACBL #, and Unit. To insure that this data is properly received the chairpersons for Sectional events, Annual Dinner, and the Bob Johnke should have the following instructions for directors:

    Note - Recent MP means all master points earned within the restricted dates. First and last names are automatically included when requesting this custom report.

    To use the program you must also obtain a file, effective December 1 or as close to the Annual Dinner as possible, of each player in the unit. It will have their name, ACBL #, and current point total. The best source of this is the ACBL's comma delimited ASCII file of all Unit 106 members. That is used to determine the category in which they compete. For example, if a player has 99 master points on December 1, and that is your 'start' file and date, then even if that player becomes a life master they are competing in the Under 100 Category. The file should be obtained so as to reflect the latest data at the time of the Annual Dinner, for that is the first event of each year's competition.

    Preferred method:

    Request an ASCII, comma delimited, file of all Unit 106 members. It will cost the unit approximately $25. ACBL will send it via the Internet. A new list is available near the middle of the month, so it is recommended that the list be ordered about December 20. In the past requests have gone to sbaldwin@acbl.org and avangund@aol.com. The sort order is not a factor. If using Arnie's program make a backup of the previous year's data and label it. Then use the new membership file when requested to create a new Player of the Year database. You may then enter the results, hopefully in the format designated for the Player of the Year Program, for the Annual Dinner.

    For Unit Wide events a representative from each club would make this job easier if they could proceed as follows in club mode:

    To more easily keep track of players entering and leaving the Unit a second file might be ordered around June, but this time applied within the More Options software menu item that updates the one of the program's data files.

    Finally the chairman must be able to present awards at the Annual Dinner for these categories based upon their point totals at the time of previous year's Annual Dinner:

    As early as possible the prize and Dinner chairmen must be told who the winners are.

    Caution: While the software has many advantages, the chair must make regular backups, and not use the same disk for each backup. The backup disk should be kept away from heat such as radiators and direct sunlight, and not be kept near monitors. The chair should also contact ACBL at least once a year to check about any changes in the point awards in Unit Wide events. There is a parameter in the program to make necessary adjustments without the need for additional programing.

    Data Flow Summary:

        Receive from: Unit Wide Chairman club and overall awards on paper and disk, directors or tournament chairmen of Annual Dinner, Sectional events (not StaC), and Bob Johnke in DOS text file format, and the Reitman via email. The Pro-Am may be involved in the future.

        Sent to: Player of the Year report to Newsletter editor five weeks before each publishing date (currently the first of January, April, July, and October), to the Webmaster following the conclusion of each event, and award winners to Dinner and Prize Chairmen as soon as they are determined.

    PRESIDENT

    1. Name additional members of Executive Committee. Invite relevant people to meetings. Preside.
    2. Set up and preside at regular Board Meetings. Prepare agenda, asking input from Board Members when notices of meeting are sent out.
    3. Ensure that all areas of responsibility are staffed giving consideration to Board needs and members' interests and talents.
    4. Plan Unit activities in conjunction with Newsletter deadlines ensuring sufficient notice and publicity. Remind Chairpersons to adhere to Newsletter deadline. Write "President's Message". Work with Editor to solicit articles on pertinent issues.
    5. Keep Webmaster advised of all activities and calendar changes. Remind Chairpersons to get information to Webmaster in a timely fashion.
    6. Encourage committee meetings for special events, Newsletter, tournaments, etc. Sit on all committees with the exception of Nominating.
    7. Interact with neighboring units, attending activities and sharing ideas.
    8. Develop personnel to ensure future Board/Unit requirements. Appoint 3 unit members to District Board.
    9. J Appoint committee chairpersons and members of standing and special committees.

    10. Direct the implementation of Board policies and decisions.
    11. Refer questions/comments/complaints to the proper Chairperson.

    PRO-AM CHAIRPERSON

    1. After the date has been established, ask the Tournament Chairperson to request a sanction from ACBL.
    2. Arrange to have an announcement with all details posted placed in each of the clubs. The announcement should give all details date, time, food to be served, and cost.
    3. Place a sign-up sheet in each club, which should include a space for partnerships, unpaired LMs and unpaired Novices. Note on sign-up sheet that Novices must have less than 50 points to be eligible.
    4. About 6 weeks before event:
      1. Contact individual at each club most closely associated with Novice activity. Ask them to work with you to contact LM's who are suitable (non-critical, non- abrasive, able to make the experience fun). Ask them to invite all novices to play and assure them partnerships will be arranged for them. Continue to work with this individual and offer to assist them in finding LM's if necessary.
      2. Order hand records from ACBL along with analysis sheets. Have enough copies of hand records so that each novice will have one at the end of the game.
      3. Determine food supplier and discuss menu (keeping within budget), and arrange delivery to each club.
      4. If Pro-Am is in clubs, touch base with club owners to be sure they are planning to be present or will arrange for a Director for the Pro-Am.
    5. Approximately one month before event, put together Novice Packets. These should include items of interest to novice small booklets about duplicate bridge, information about Unit 106, etc. (Please check with previous chairpersons for ideas.)
    6. During the week before the event
      1. Call each club to find out how many tables they expect.
      2. Deliver to clubs the hand records, analysis sheets and a set of instructions as to how the game is to be run. The instructions should show that LM's and novices in all clubs will set in the same direction LM's sit North and East, novices sit South and West. The instructions should also show clearly the action to be taken at the end of the game It is helpful if they give you a call as you will find people will contact you to see who the overall winners were. Imperative is the information to be given to the Webmaster (or through you to the Webmaster) so that the results can be posted at the earliest possible time. Check with the Webmaster and the web site well in advance of the event to determine what should be included in the instructions to the directors.
    7. Immediately following the event collect results. Determine the overall winner. Send results and sanction fee to ACBL. Double check to make sure that all information goes to the Webmaster, Newsletter Editor, Awards Chairperson

    RECORDER

    The first duty is to receive, investigate, and evaluate player memos, which are available at tournaments and all clubs in the Unit.

    Communicate, as appropriate, with those involved, especially the reporter and subject.

    Maintains a record or all player memos including investigation and resolution.

    Matters that could involve major ethical breaches should be referred to the ACBL recorder for evaluation prior to the start of an investigation.

    At least twice each calendar year the recorder should review all files in his/her possession. If subject of a file five or more years old is not a subject of a more recent player memo the file should be discarded. If the file notes a major ethical breach is an exception and should be kept indefinitely. During the review the recorder should note if more than one player memo involves the same subject. If so the recorder should reevaluate the memos for action based on a possible pattern.

    The recorder has no disciplinary authority, but may file a complaint with Conduct and Ethics against a subject as a means to resolve a player memo or memos. A recorder may choose to inform a subject that a complaint may be filed in the future should the undesirable behavior continue. In either case the recorder must ensure that the authority of the Office of Recorder is not abused. The recorder may not be a member of the Conduct & Ethics Committee. Recorder files are confidential. For a detailed description refer to the ACBL website, acbl.org.

    Recording Secretary

    Responsible for the information associated with Board meetings.

    1. Send notice of board meetings to members, past presidents and designated guests
    2. Record minutes
    3. Send drafts to board members either by email or snail mail, for their review as soon as possible after board meetings.
    4. Send the approved minutes of the board minutes to the Webmaster immediately after they have been approved.

    STAC CHAIRPERSON

    At beginning of year the District Calendar is checked for dates of Sectional Tournament at Clubs (STAC) to be held during the course of the coming year.

    Choose a date for Unit 106 to participate, and get approval of date from Board. After date is chosen, ask the Tournament Chairperson to apply for sanction, and contact Director in Charge to indicate our participation in the event.

    Since our Board decided in the past not to share overalls with other Units, but to have our Unit scored as a separate entity, this necessitates our separate sanction. Discuss with Board each year to confirm policy.

    In past years the Unit has subsidized this event in the amount of $.50 per player. Bring this to the attention of the Board and ascertain that this policy is to continue. This will usually be done at the time the Budget is approved, since the loss on STAC is a line item.

    Make sure that the Newsletter Editor and the Webmaster are notified as soon as the date is determined so that they may advertise this event.

    Hand records and instructions are sent out by the Director in Charge. Make sure that the clubs all receive this information in a timely manner along with a separate letter clearly explaining the running of the event.

    Notify clubs that they are to send checks for additional fees paid by players to Treasurer within 10 days of end of event.

    TOURNAMENT CHAIRPERSON

    The Tournament Chairperson has charge of four Sectional events per year, each lasting three days. They are usually held in February, April, September and November.

    The events are usually held at Guardian Angel Church Auditorium, West Allendale Avenue, Allendale, NJ. Phone numbers are Office (20l) 327-4359, and Auditorium (201)327-9617.

    SCHEDULING THE SECTIONAL EVENTS

    1. Set up schedule for the four Sectional events for the year following the next year (i.e., 2001 for the year 2003.
    2. Check with Church Office re dates (201-327-4359)
    3. Check with District Coordinator: Alex Allen (609-231- 0420, 141 Sayer Drive, Princeton, NJ 08540)
    4. Complete ACBL Sanction Forms and send them to District Coordinator for approval. He will send them to Memphis.
    5. Memphis sends out listing of tournaments, which are usually given to our Board Members by Jerry Goodman. Check list to make sure our dates appear.
    6. Memphis assigns directors and will advise you. Chair may request or reject assigned directors
    7. Two weeks before each tournament, file insurance forms with Lipscomb Pitts
    8. Two weeks before each tournament, take or mail application for Fire Certificate to Allendale Borough Hall along with check in the amount of $35.00 from the Treasurer.

    ADVERTISING THE SECTIONAL EVENTS

    1. Make up the flyer for the new tournament describing various games and starting times. Give a copy to:
      1. Newsletter Editor
      2. Webmaster
      3. Memphis for Bulletin (see below)
      Flyers (about 500) should be printed and sent to each club; Bergen, Rockland, Maywood, Wyckoff and Clifton
      1. Each club has a bulletin board poster, into which the flyers are placed.
      2. Bring about 50 flyers to Sectional.
      3. Flyers need to be taken to neighboring tournaments, both Regional and Sectional.
    2. Advertising in Bulletin
      1. Due the 1st of the month, two months before Bulletin issue. (i.e., October Bulletin due August 1.
      2. Make up ad we are using 1/3 page
      3. Send to ACBL Advertising Department (Eva Abernathy), phone 901-332-5586, Fax 901-398- 7754.
      4. When ad has been set up by ACBL, they will ask for final approval. Changes can be made.
      5. We put ad in approximately one month prior to tournament, i.e., ad for February tournament usually appears in January Bulletin. If tournament is scheduled late in month, ad can appear in that month's Bulletin.
    3. Direct Mailings may be done by tournament chair in consultation with president
      1. Mailing lists may be comprised of
        1. Master point range
        2. Unit and/or location
        3. Previous attendance at Unit 106 events
      2. Mailing labels need to be obtained and postcards printed (labels may be obtained from Arnie Bergen)
      3. Postcards are sent first class mail.
      4. Set up volunteer system at a local club to attach stamps and labels.
      5. Postcards should be sent out two weeks before tournament.

    SECTIONAL SITE

    1. The Church provides janitorial services
      1. Sets up tables and chairs the day before the tournament (Thursday) into seven rows of ten. There is to be a path of 44 inches reaching from the fire exit to fire exit on the sides, and another path of 44 inches from the middle of the stage to front door (fire regulations). Any exit must be cleared of all obstacles.
      2. and maintains both bathrooms between tournament events.
      3. Maintains clean floors and straighten tables and chairs after each session.
      4. Ensures heat, air conditioning, electricity and plumbing are in proper working order.
    2. Tournament Site Committee Chairperson
      1. Purpose of Committee is to assess the status of inventory (tables, chairs, bidding boxes, and fillers) for the sessions at Guardian Angel and to oversee the set-up and closing the sectional tournament.
      2. Responsibilities:
        1. The chairperson needs to be available on Friday AM at 11 to meet with the head director. The chairperson or his representative needs to be at all times during the tournament.
        2. Assess needs at Guardian Angel. 72 tables should be set up in a 8 x 9 configuration with aisles in both directions for fire exits, Additional tables may need to be necessary to place on the stage. Bidding boxes need to be complete and placed on the tables. Fillers complete in each bidding boxes. 4 bidding boxes to each table. Two garbage bags are taped to each table.
        3. Committee to investigate prices as needs arise and report to board.
        4. Committee assists Board members with the closing and storage of equipment and materials following Swiss on Sunday Evening.
        5. Chair should be aware of lighting switches, switches for furnace and air conditioning.
        6. Separate tables should be set-up for pairings, club brochures, the Tournament Directors. Only regional and sectional poster is to be place on walls.
        7. Parking lot on Saturday and Sunday needs to be cordoned off and supervised prior to the Saturday PM session and the Sunday AM session prior to the Swiss.
        8. Information: Tables were purchased at Ken Perssons, Maywood Furniture.
    3. Tournament Chair oversees the tournament
      1. Arrives at site at least one hour before game time or makes sure someone else is there at that time with necessary keys, directions, etc.
      2. Coordinates with Head Director, Caddy, Awards, and Pairings Chairpersons
      3. Be prepared to name an Appeals Committee (two members from out Unit and one member from outside our Unit)
      4. Maintain records of tournaments (i.e., number of tables, money collected, expenses, etc.)
      5. The Tournament Chair will be provided by the Webmaster and Player of the Year Chair with instructions on how to generate the data with ACBL Score. Until those instructions change it is expected that the Tournament Chair is continuing to provide that info to the director at each event
    4. Restaurant Guides need to be updated periodically and enough copies (approximately 50) available.

    To insure that this data is properly received the Tournmament chair as well as chairpersons for Annual Dinner, the Bob Johnke, and NAOP should ensure that instructions on how to generate results for the Newsletter Editot, Webmaster, and Player of the Year Chair are given to directors.     It is expected that the Tournament Chair continues to provide that info to the directors of Unit events.

    Select dates for events in conjunction with representative of Unit 140. The people in charge of the Unit Wide in each Unit change so check to ascertain the person in charge for the coming year.

    Usually four dates are chosen, each on a different day and/or night of the week.

    Sanctions are filed with District 3 Tournament Coordinator.

    Tournament packets are mailed by ACBL to the Unit Coordinator about one month before date of each event along with one copy of the hand record.

    Coordinator makes additional copies of hand records and mails or delivers packets to each club in our Unit along with the letter of instruction (see attached).

    Coordinator mails one copy of hand records and letter of instruction to Unit 140. Instructions include how game is to be stratified (usually B < 1000, C < 300), and how to send the local clubs results, via ACBL Score, to the Webmaster, Player of the Year Chair, Unit Wide Chairs for each Unit.     WEBMASTER

    Be able to transfer information to the Unit's web site where it can easily be viewed by anyone logging on to the unit's web site.

    Turn information into a format viewable by common browsers, specifically Netscape and Internet Explorer. He/she will take care that all information will be viewable by all releases of the above mentioned browsers that have been in existence at least 18 months prior to the latest release. In other words, the site will not just be easily viewable by those with the latest software. He/she will still try to keep up with the latest developments so that more proficient members can avail themselves with features that may prove to be more interesting and beneficial.

    Be responsible for all web content, overseeing and training other committee members in content areas that they have responsibility for. For example, the Webmaster may appoint a member to revise the clubs' tournament calendar and another to post the latest results of the Nelson Reitman. Ultimately, he/she must be able to train other board members in the skills needed to prepare and send data to the web site. They may also be given email alias provided by the web host, which will allow them to keep their identity hidden when receiving commentary, and answer to the president and Board on what should and should not be seen. These Board members must have their own computer, and it must be capable of sending and receiving and viewing data over the Internet. Others will be asked to check for typos, etc.

    The positions of Webmaster (webmaster@bridge-njba.org), Player of the Year (poy@bridge-njba.org), Unit Wide Chair (unitwide@webmaster.org) and Newsletter Editor (newsletter@webmaster.org) have dedicated email alias. These shall be updated when necessary by the Webmaster.

    Besides content, information must be posted in a timely fashion, including, but not limited to:

    1. Dates and results of major events such as the Sectional events, Bob Johnke, Annual Dinner, Pro-Am
    2. Local clubs' tournament schedule, addresses, etc.
    3. Player of the Year Standings
    4. Email addresses and titles of Board members
    5. Minutes of Board meetings
    6. Conditions of contest, such as the Nelson Reitman, and Bob Johnke, with revisions should they occur
    7. Newsletter articles after it has been delivered

    Every effort should be made to post the results within a day of the conclusion of a major event. To that end the Tournament Chair and/or the member in charge of the event should ask the tournament director to email the results or place them on a disk that is made available to the director on the final day of the event. The Tournament Chair will be provided by the Webmaster with instructions, posted at the web site, http://www.bridge-njba.org/instruct.htm on how to generate the data with ACBL Score.

    It is expected that the Tournament Chair continues to provide that info to the directors of Unit events.

    For Sectional events the Webmaster shall request overall results of all games. The results should include position, name, and points. For pair events at Sectional events, Annual Dinner, and at the Unit qualifying session of the NAOP a recap file should also be requested. The procedure for generating a recaps is:

    
          Press F4 to get the game, then
    Enter LRECA or LR (short form)                  press enter
    Select recap destination by pressing 3
     or moving highlight bar over 3 ASCII File      press enter
     Enter A:\ as the file location                 press enter
     Enter a name, such as 1118sec.txt              press enter
     If the name exists AND this is the first
     event for recaps choose overwrite
    Place highlight bar on 5 List and Recap         press enter
    Enter a width number of 150                     press enter
    Place highlight bar over 3 ASCII File           press enter
    Enter A:\ as the file location                  press enter
    Enter a name, such as 1118sec.txt               press enter
    Enter Y when asked to include N-S               press enter
    Place the highlight bar over 1 By Pair number   press enter
    Enter Y when asked to include E-W               press enter
    

    Recaps of other games in that session may be appended to the same file by keeping the same file location and name. The program will ask you to overwrite or append. Choose Append.

    The Webmaster shall maintain a page with instructions that club and tournament directors may refer to. The page will contain detailed instructions for using ACBL Score commands to generate the files necessary for the Webmaster, the Player of the Year, and Unit Wide chairs. That page shall be

    The Webmaster shall see that email is answered in a timely and polite manner. He/she shall continue to seek the help of the president and others in obtaining required information and posting 'last minute' changes. The responsibility of the core, or index page (index.html) will be the Webmaster's. However, password and technical ability to change any page must rest with at least one other board member and the Webmaster shall see that is always the case. The treasurer will be notified when hosting and domain registration fees are due. He/she shall monitor the performance and price of the web host, insuring that the Board continues to receive a high quality site at a very competitive price.

    The Webmaster will head the web site committee and may solicit others to add commentary, knowledge, and enrichment to the units' website, www.bridge-njba.org. It will be up to the president and/or his/her designated "expediter" to see to it that those who must be aware of data request formats, such as those responsible for the NAOP, Sectional events, Bob Johnke, Annual Dinner, and Unit Wide events are familiar with the necessary forms and that all data flows to the Webmaster and assistants.

    11. press F8 so that nothing is tagged (checked)
    12. move the highlight bar over 2 Masterpoints and press space bar to check
    13. move the highlight bar over 7 Include ACBL player numbers and press space bar
    14. move the highlight bar over 8 Combine all strata
    15. Press F9
    16. Enter 150 for the field width - press enter

    Send the file on disk as an attachment to the Webmaster

    Advertizing Policy is to not actively seek advertisers, they be bridge related, i.e., books, travel to bridge event, etc. It must be on a commissioned basis with a minimum set up fee of $25. After being discussed within the committee and the counsel must be notified for potential liability.
